How to invoice a contracting job

Clients compare your invoice with the quote. Keep the same structure so it is easy to approve.

Job address
Add the site address in the client details or the notes, so the invoice matches the job.
Labour
One line per trade or stage, with hours or days and your rate.
Materials
List the main materials with quantity and unit price. Group small parts as one line.
Deposit
Enter any deposit already paid in Amount paid. The balance due updates by itself.
Changes
Add agreed extra work as its own line, like Additional socket, kitchen.
Licence and tax
Put your licence or registration number in an extra field, and add sales tax or VAT if you charge it.

What should a contractor invoice include?

Your business name and licence number, the client and job address, a unique invoice number and date, labour and materials as separate lines, tax, any deposit paid, the balance due and how to pay.

Should I list materials separately?

Yes. Clients trust an invoice more when they can see labour and materials apart. It also makes it easier to match the invoice against your quote.

How do I show a deposit?

Enter the deposit in Amount paid. The invoice shows the total, the amount already paid and the balance still due.
